Administrative Assistant with Dhaka Hospital of Clinical and Diagnostic Services under the Office of Executive Director (Adv#44/2026)

Dhaka Hospital was established by icddr,b in 1962 primarily to meet the urgent need to treat patients, particularly children, with severe diarrhoeal disease. It has since grown into a nationally important centre treating more than 200,000 patients a year. Dhaka Hospital provides an infrastructure for a wide range of clinical research projects. It also plays a critical role in areas such as disease surveillance, monitoring for antimicrobial resistance and clinical training. Dhaka Hospital offers a full range of services, particularly for diarrhoeal and respiratory disease, with infants and children representing a high proportion of patients.

Position Description:
The position holder will coordinate, carry out, and organize all administrative and logistical requirements of icddr,b Dhaka Hospital operations, with the objective of providing efficient administrative support in line with organizational values and guidelines. The specific areas of responsibility include:

  • Office Management and Administrative Support: Understand hospital operational requirements; formulate duty rosters for Dhaka Hospital staff, especially doctors; collect and maintain duty rosters and verify FTE counts monthly as per the attendance system (Kronos); validate and sign off on the Kronos attendance system as per the approved roster; coordinate with Finance, Procurement, Human Resources, Research Administration, Facilities Department, and others to ensure smooth hospital operations.
  • Requisition and Document Management: Process stock and other requisitions; prepare local transport requisitions and arrange transport for fellows and senior staff as per the duty roster; resolve escalated issues with support services; track accuracy and closure of internal requisitions; maintain document management systems (both hard copy and electronic), including working papers, reference materials, confidential records, audit reports, and committee reports; record minutes of Hospital Management Committee (HMC) and Hospital Admin Committee meetings; maintain shared drive records (e.g., budget, correspondence, minutes).
  • Monitoring Bills and Vouchers for Reimbursement: Manage petty cash bills and vouchers; track the budget to ensure smooth operation under the hospital budget code; scrutinize and recheck petty cash reimbursement requests and utility payments before submission to Finance; follow up to ensure timely reimbursement.
  • Inventory and Pool Equipment Management: Record fixed asset information (issue date, assigned user, location, cost, etc.) upon procurement; monitor equipment condition and initiate maintenance requests when necessary; identify reassignment opportunities upon contract closure; coordinate asset disposal through Procurement; manage pool equipment requests (e.g., laptops, cameras); allocate, track, and ensure timely return of equipment; maintain the Pool Equipment Management database and optimize resource utilization.
  • People Management: Promote collegiality and gender diversity within the team; encourage collaboration across administrative functions.

Required qualifications and experience:

  • MPA (Master’s in Public Administration) or Master's in Commerce or MBA major in Accounting/ Finance/Management with good academic records;
  • At least 5 years of experience in the administration domain preferably in a multi-national organization or hospital.

Location: Mohakhali Campus, Dhaka

Contract Type and duration:

  • Fixed Term; duration will be 2 Years with a possibility of extension subject to availability of funds and performance.

Salary & benefits:

  • Annual salary of Taka 6,03,200/- inclusive of house rent, conveyance allowances and other admissible benefits.
  • 14.8% provident fund contribution, income tax paid by icddr,b, children allowance @Tk.2,492/- per child per month, festival bonus, contributory healthcare support including dependent spouse and children, group life insurance, and subsidized canteen. Transport and daycare facilities are subject to space availability.
